Follow the steps below for each patient with charts to be merged.

Merge the patients in your Practice Management System. Make sure there is one patient record for the patient. If there are multiple, then additional duplicate charts may be created. (For help with this step, please refer to your practice management system’s help documentation.)
In iKnowMed, open both duplicate charts. Going forward we refer to the MRN that matches your Practice Management System as “the MRN to keep” and the other MRN as “the MRN to lose”. For a patient with more than 2 duplicate charts, prepare only 2 charts at a time and then repeat these steps for each remaining duplicate chart after the first 2 are merged.
Check that all dictations are transcribed and signed in the 2 charts. We recommend waiting until all dictations are transcribed and signed to avoid confusion in the Worklist Queues.
In the chart with the MRN to keep, navigate to Demographics.
Under Patient Information, click Edit.
Set the Name, Date of Birth, and Sex to match your Practice Management System.
In the chart with the MRN to lose, navigate to Demographics.
Under Patient Information, click Edit.
Set the Name, Date of Birth, and Sex to match your Practice Management System. (These fields must match in both iKnowMed charts for the charts to be merged.)
Change this MRN to be “DUP_” followed by the MRN to keep. (Technically, any 3 letters followed by an underscore followed by the MRN to keep works in this process.)
Click SAVE.
