Charge Capture and LPMI Missing Drug Charges

FAQ: What should an agent do if there are no drug charges in the Practice PMS, only administrative charges?

Issue: Agents may receive calls from practices reporting that although charges have been released, no drug charges appear in the Practice Management System (PMS), only administrative charges.

Steps for Agents:

  1. Information Gathering:

    • Collect the following details:

      • Medical Record Number (MRN)

      • Date of Service (DOS)

      • Missing charges

      • Practice ID

  2. Verification:

    • Confirm that all charges have been released for the reported Date of Service.

    • Ensure there is a National Drug Code (NDC) associated with the transaction.

    • Check for both Dispense (D) and Waste (W) details by reviewing Admix >> Drug Dispense Details.

  3. Search in LPMI:

    • Navigate to Interface Control >> Charge Detail.

    • Enter the following:

      • Practice Site No.

      • ID: MRN

      • Start Date: DOS

      • End Date: Today's DOS (to account for charges released on a later date).

  4. Troubleshooting:

    • If drug charges are still not visible and only admin charges appear:

      • Return to the Charge Capture Report and ask the staff to click "REFRESH" on the Charge Capture Report.

      • Check if charges appear post-refresh. This situation may occur if the Nurse released charges and the Pharmacy staff dispensed drugs after the Nurse released the Drug Codes.

  5. Resolution:

    • Instruct the staff to RELEASE DRUG Codes.

    • Document this process and add the incident to the appropriate logs for tracking and resolution.
